Custom Audiences

What are Custom Audiences?

Custom audiences allow you to create targeted groups of customers based on specific criteria like location, tags, custom fields, and behavior. This helps you send more relevant messages and campaigns to the right people.

Creating a New Audience

1. Access the Audiences Section

  • Navigate to Settings > Leads & Customers > Audiences from your main menu
  • Click Create New Audience

2. Basic Information

Fill out the basic details for your audience:

  • Audience Name: Give your audience a descriptive name (e.g., “VIP Customers”, “Local Prospects”)
  • Description: Optional description to help you remember what this audience is for
  • Status: Set to Active or Inactive

3. Building Filters

The filter builder allows you to create rules that determine which customers belong to your audience.

Adding Your First Filter

  1. Click Add Filter to create your first condition
  2. Choose a Field to filter by (see available fields below)
  3. Select an Operator (how to compare the field)
  4. Enter a Value to compare against

Available Fields

Standard Fields:

  • Name – Customer’s full name
  • Email – Email address
  • Mobile Number – Phone number
  • City – Customer’s city
  • State/Province – Customer’s state or province
  • ZIP Code – Postal code
  • Birthday – Customer’s birth date
  • Business Name – Company name
  • Customer Value – Lifetime value or importance score

Analytics Fields:

  • Referral Source – How they found you (Google, Facebook, etc.)
  • UTM Source/Medium/Campaign – Marketing campaign tracking
  • Traffic Source – Website traffic origin
  • Landing Page – First page they visited
  • Acquisition Date – When they became a customer

Special Fields:

  • Tags – Labels you’ve applied to customers
  • Custom Fields – Any custom data fields you’ve created

Filter Operators

Text Fields:

  • Equals – Exact match
  • Contains – Includes the text anywhere
  • Starts With – Text begins with your value
  • Ends With – Text ends with your value
  • Is Empty – Field has no value
  • Is Not Empty – Field has a value

Number Fields:

  • Equals – Exact number match
  • Greater Than – Higher than your value
  • Less Than – Lower than your value
  • Between – Within a range of values

Date Fields:

  • Equals – Exact date match
  • After – Dates after your specified date
  • Before – Dates before your specified date
  • Between – Within a date range

Tag Fields:

  • Has Tag – Customer has this specific tag
  • Does Not Have Tag – Customer doesn’t have this tag
  • Has Any Of – Customer has at least one of multiple tags
  • Has All Of – Customer has all specified tags
  • Has No Tags – Customer has no tags assigned
  • Has Tags – Customer has at least one tag

4. Multiple Filters

You can add multiple filters to create more specific audiences:

  1. Click Add Filter to add additional conditions
  2. All filters work together using AND logic (customer must match ALL conditions)

5. Preview Your Audience

As you build your filters, the preview panel shows:

  • Customer Count – How many customers match your criteria
  • Sample Customers – Preview of actual customers who would be included

This helps you verify your filters are working correctly before saving.

Example Audiences

Local VIP Customers

  • City contains “New York”
  • Tags has tag “VIP”
  • Customer Value greater than 1000

Recent Signups from Google

  • Acquisition Date after “2024-01-01”
  • Referral Source equals “Google”

Inactive Customers

  • Last Contact Date before “2024-01-01”
  • Tags does not have tag “Active”

Birthday Customers This Month

  • Birthday between “2024-12-01” and “2024-12-31”

Managing Existing Audiences

Viewing Audience Details

  • Click on any audience name to see detailed information
  • View the complete customer list
  • See when the audience was last updated
  • Export customer data as CSV

Editing an Audience

  1. Click the Edit button next to any audience
  2. Modify the name, description, or filters
  3. Save your changes
  4. The customer count will automatically update

Audience Actions

  • Refresh Count – Manually update the customer count
  • Duplicate – Create a copy to use as a starting point
  • Export – Download customer list as CSV file
  • Delete – Permanently remove the audience

Tips for Effective Audiences

1. Start Simple

  • Begin with one or two basic filters
  • Add complexity gradually as needed

2. Use Descriptive Names

  • “VIP Customers in California” is better than “Audience 1”
  • Include the main criteria in the name

3. Test Your Filters

  • Use the preview to verify your results
  • Check that the customer count makes sense

4. Keep Audiences Updated

  • Customer data changes over time
  • Audiences automatically refresh, but you can manually refresh if needed

5. Use Tags Effectively

  • Apply consistent tags to customers
  • Create audiences based on behavior tags like “Purchased”, “Interested”, “VIP”

Common Use Cases

Marketing Campaigns

  • Target customers in specific locations
  • Reach customers with particular interests
  • Follow up with recent inquiries

Customer Service

  • Identify VIP customers for priority support
  • Find customers with specific issues or needs
  • Segment by customer lifecycle stage

Sales Follow-up

  • Find warm leads from specific sources
  • Target customers who haven’t purchased recently
  • Identify high-value prospects

Troubleshooting

“No customers found”

  • Check that your filter values match your data exactly
  • Verify customers actually have the fields you’re filtering on
  • Try broader criteria first, then narrow down

Unexpected customer count

  • Double-check your filter operators (equals vs contains)
  • Ensure date formats match your data
  • Verify tag names are spelled correctly

Missing customers

  • Check if customers have the required fields populated
  • Verify that filters aren’t too restrictive
  • Make sure customer data is up to date
